How We Process Your Files

Server-Side Processing

A small number of tools that require server-side conversion (such as Word-to-PDF, EPUB conversions) temporarily upload files to our servers. For these tools:

• Files are transmitted over TLS 1.3 encrypted connections
• Files are stored in isolated, temporary storage with random filenames
• Files are automatically and permanently deleted within 2 hours of upload
• No employee or system reads, analyzes, or accesses file contents
• Files are never shared with third parties

No AI Training

Your files are never used to train machine learning models or any AI systems, under any circumstances.

Data Retention

• Uploaded files (server-side tools): Automatically deleted within 2 hours
• Server access logs: IP addresses anonymized after 24 hours; logs retained for 30 days for security monitoring, then deleted
• Support emails: Retained for up to 12 months, then deleted
• Analytics data: Aggregated, anonymized data retained for up to 24 months

While we implement strong security measures, no internet transmission is 100% secure. We encourage you not to upload files containing extremely sensitive personal information (e.g. passwords, financial data) to any online service.

Children's Privacy

FileZone is not directed at children under the age of 13 (or 16 in the EEA). We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us immediately and we will take steps to delete it.

• Not use automated bots or scrapers against the service without written permission
• Not upload files containing malware, viruses, or malicious code

FileZone and its logo are trademarks of FileZone. All tool code and website content are protected by copyright. You may not reproduce, distribute, or create derivative works without written permission.

Availability

We aim for 99.9% uptime but do not guarantee uninterrupted availability. We may modify or discontinue features at any time with reasonable notice.

Governing Law

These terms are governed by applicable laws. Disputes shall be resolved through binding arbitration or in courts of competent jurisdiction.

Disclaimer of Liability

To the maximum extent permitted by law, FileZone shall not be liable for:

• Loss, corruption, or damage to files during processing
• Any loss of data, revenue, or business resulting from use of the service
• Temporary unavailability of the service
• Errors in file conversion output
• Third-party service outages (CDN providers, cloud infrastructure)

Our total liability in any circumstance shall not exceed the amount you paid us in the 12 months prior to the event giving rise to liability (which for free users is zero).

Indemnification

You agree to indemnify and hold FileZone harmless from any claims arising from your violation of these Terms, your files, or your misuse of the service.
